Hotel upgrades are not a lottery — they are a negotiation that follows a predictable script. The front desk has inventory (unsold suites, corner rooms, club floors) and discretion; your job is to ask at the right moment with the right leverage. Here is the ask strategy that works, tested across 50+ check-ins.
The three leverage points
- Timing: The upgrade decision is made at 11:00–12:00 on arrival day (after the 11:00 checkout wave). Arriving at 14:00 means the best rooms are already assigned. Arrive early (or call at 09:00) and you catch the decision window.
- Occupancy: Ask at check-in: “What’s the occupancy tonight?” If >85%, upgrades are rare. If <70%, the desk has flexibility. Mid-week, shoulder season, non-event dates = your leverage.
- Profile: Book direct (not OTA), add a note at booking (“celebrating anniversary / birthday”), and join the free loyalty tier before arrival. The desk sees: direct booking + celebration note + loyalty number = upgrade candidate.
The script (memorise this)
At booking (direct, notes field): “We’re celebrating our anniversary — if a room with a view or extra space is available, we’d be grateful.”
At 09:00 on arrival day (call or app chat): “We’re arriving around 11:00 — just checking if any upgraded rooms might be available for our anniversary stay?”
At the desk (smile, eye contact, low voice): “We’re celebrating our anniversary. I know you’re busy, but if there’s any chance of a room with a view or a little extra space, it would make our trip. No pressure either way.”
The three fallback asks (if “no” to upgrade)
- “Could we at least get a late checkout (14:00 or 16:00)?” — costs the hotel nothing, high value to you.
- “Is the club lounge / executive floor access available for a fee?” — often 25–50 euro, includes breakfast, evening drinks, quiet workspace.
- “If a corner room or higher floor opens up tomorrow, could we move?” — plants the seed for a mid-stay move.
What never works
- Demanding (“I deserve an upgrade”)
- Mentioning status you don’t have
- Booking via OTA and expecting discretion (the desk sees “Expedia, non-refundable, no leverage”)
- Asking at 16:00 when the decision was made at 11:00
One-line verdict
Book direct, add celebration note, call at 09:00, ask at desk with smile + “no pressure” — the four-step script that turns discretion into upgrades.
